Texas Bear Round-Up™ (TBRU™) is an annual Bear Event presented by the Dallas Bears.


It's a weekend celebrating the bear community and those who identify themselves as bears, cubs, otters, and their admirers. We hope you join us in our host city of Dallas, TX for a weekend of entertainment, fun events, shopping, fun, and making many new friends.

    Privacy Statement
    The Dallas Bears are committed to respecting and protecting the personal privacy of its members and those who visit our websites. It is our policy to acquire personal information from users only by overt and voluntary means, only when it is in the interest of the user to provide it, or is required by law, and to utilize this information only for the purpose it was provided.

     

    The information that follows explains the kinds of information the TBRU™/Dallas Bears websites collect, how it is used, the conditions under which it is made available to third parties, how information is maintained, and our compliance with the Payment Card Industry Data Security Standards.

     

    What Information is Collected?
    Our websites collect anonymous data that is not indicative of and cannot be traced to an individual without the cooperation of their Internet Service Provider. This data includes information about the user’s remote IP address, referral data (which page “linked” to the present request), and the browser software’s user-agent string. This information is accepted passively from the HTTP headers that are sent from the user when requesting any file from the server. Other anonymous data entered by the user may be collected in a common repository, including terms entered into the search engine, etc.

     

    Personally identifiable information is collected only by means of form interfaces on our sites, into which the user must voluntarily enter the information requested. This information is requested only when it is necessary to accomplish the overt purpose indicated by the interface containing the form that requests it.

     

    No attempt is made to covertly or “quietly” collect personally identifiable information, nor are cookies or any other tracking technology used for the purpose of coordinating information that a user may opt to enter in various interfaces on our sites.

     

    Dallas Bears will never store any debit or credit card information in compliance with the Payment Card Industry (PCI) Data Security Standards. Only transaction ids and confirmation codes are stored for any debit or credit card transaction.

    How does Dallas Bears use the information it collects?
    The anonymous information collected is used to monitor the usage of websites and the interests of those who use them. Data such as the volume of traffic to the server, the number of visitors a certain section of a site receives each month, or the most popular search terms are analyzed to derive general statistics about the site’s reach and the audience’s usage patterns.

     

    Personally identifiable information is used only for the express purpose for which it was submitted. For example, if a user enters their contact information on the “Contact Us” form, the information will be used only to respond to their inquiry.

     

    With whom does the Dallas Bears share the information that is collected?
    Reports, statistics, and other analyses of aggregate anonymous information may be shared within the organization or provided to third parties at the sole discretion of Dallas Bears. This information does not include any personally identifiable information.

     

    Exception: Dallas Bears reserves the right to use all information at its disposal and to share this information with ISPs and other third parties (such as law enforcement) as necessary to investigate any incident of misuse or abuse of its sites, servers, or information systems.

     

    Personally, identifiable information will never be sold by the Dallas Bears to any third party. Personally, identifiable information will only be disclosed to third parties when specifically stated on the form used to collect the information.

     

    How does Dallas Bears Maintain data? 

    Personally, identifiable information is maintained in a database within a SAS-70 certified data center. Access to the server and to the database storing the information is restricted and access is strictly monitored.

    This policy was last modified in October 2022.

     

    Dallas Bears may modify this privacy policy and will post those changes here. If a privacy policy changes in the future, we will not handle any personal information you have submitted to us under the current Privacy Policy in a manner that is materially inconsistent with this Privacy Policy, without your consent.

     

    It may be necessary to deviate from this general policy in unique instances and for specific purposes. In such instances, a link will be provided to a description of the deviation. This link will be placed where it can be reasonably expected to be noticed prior to submitting any information for which this privacy policy is modified or exempted in any way.

    Accepted Forms of Payment
    The Dallas Bears Inc / Texas Bear-Round-Up™ accepts VISA, MasterCard, Discover, and American Express branded credit, debit, or check cards. Cash is accepted in person only. Money orders and cashier’s checks are not accepted for event registration. Personal checks are not accepted. When using payment cards the users' legal name must match the name on the credit card. You may not use other persons' cards for payment of your registration or other items. The registration system is programmed to reject payment if the card name does not match the registrant's name.     Refund Policy
    Before the event, there is a deadline to cancel your registration and to request refunds. After the cut-off date, please understand that at that point in time, TBRU™ was required to pay for your registration regardless of whether you attended or not. Visit the TBRU™ website for refund details. We offer a generous refund policy and also consider case-by-case situations for extenuating circumstances. Please reach out to us if you need to cancel by emailing customerservice@tbru.org

    Requests must be received via e-mail sent to customerservice@tbru.org . The following refund schedule will be used:

    Requests received up to and including February 9, 2026, will receive a full refund of the registration amount paid, less a $25.00 administrative fee.
    Requests received from February 10 - 28, 2026, will receive a 50% refund of the registration amount paid, less a $25.00 administrative fee.
    No refunds will be issued starting March 1, 2026, as all expenses will have been paid regardless of your attendance.

  • Code of Conduct
    The TBRU Code of Conduct is here to protect and ensure everyone has a favorable time at
    the event. We want everyone to have a great time at TBRU and we hope that you will make
    many lasting friendships. We are a very diverse group of individuals, so we ask that we all
    treat one another with mutual respect and friendship. It is easy to sum it all up in one
    phrase,
    The Golden Rule: “Treat others as you would want others to treat you.”
    If we all honor this old traditional saying, everyone will have a great time. All TBRU



    Attendees, Volunteers, Vendors, and Crew:
    Must be at least 21 years of age as of the start of the event
    TBRUTM is a niche/affinity event designed for gay men in the Bear community, admirers,
    allies, and those who want to join in the spirit of brotherhood and friendship. We all express
    ourselves in different ways, and you are welcome to be yourself at TBRU. It is very
    important to the Dallas Bears that our trans brothers know that TBRU is a safe place and
    that you are celebrated and welcomed at TBRU!
    Identification
    • Must provide, physically - in person, a valid, unexpired government-issued photo ID
    (driver license, state ID card, military ID, or passport) that provides a recognizable
    photo of you and clearly states your date of birth.
    • Pictures or paper copies of your ID are NOT acceptable.
    • In Texas, a valid, unexpired government-issued photo ID is required to enter any
    venue that serves alcohol. You must have your physical ID on you in order to enter
    bars, etc. Bars cannot accept pictures or photocopies of your ID.
    • IF THERE IS ANY DOUBT IN DETERMINING YOUR DATE OF BIRTH OR AGE - THE
    DALLAS BEARS MAY REFUSE ENTRY TO THE EVENT. TEXAS STATE LAW REQUIRES
    YOU TO POSSESS A VALID, UNEXPIRED GOVERNMENT-ISSUED PHOTO ID TO
    ENTER A BAR OR VENUE THAT SERVES OR SELLS ALCOHOL
    • Registrants who are unable to provide the required proof of age will not be allowed
    to receive their registration packet or attend the event, and will not receive a refund
    of registration or hotel fees. TBRU Registrations are not transferable.

    You are entirely responsible and liable for all activities conducted by you.

    Below are some, though not all, violations that may result in the refusal of your registration
    and/or removal from the event by members of the Dallas Bears, Texas Bear Round-Up
    Team, Hyatt Regency Dallas Hotel, local bars, or other venues or agents acting on their
    behalf.
    By submitting your registration to Texas Bear Round-Up, you agree to the following rules of
    conduct:
    • Will conduct yourself in a reasonable manner in public areas, including appropriate
    attire in the public areas of the hotel. Please note this hotel is a tourist attraction
    and has tourist events. Children may be in public areas of the hotel. Appropriate
    attire is required.
    • The use, possession, or sale of any illegal or illicit drug is a crime in the State of
    Texas (Marijuana is not legal in Texas). Violators at any TBRU event or activity, Hyatt
    Regency Dallas, local bar, or other facility will be prosecuted to the fullest extent of
    the law. The Hyatt Regency Dallas will press charges and evict you from the
    premises without warning or reimbursement of room fees and taxes. Attendees
    found in violation will be permanently banned from attending TBRU or any Dallas
    Bear event. Note: This is not Amsterdam!! Please remember in Texas, ALL Illicit
    Drugs, including marijuana, are illegal under all conditions — public use or behind
    closed doors.
    • No public nudity (complete coverage of genitals and butt crack – jock straps do not
    satisfy this) - please consider that there will be non-attendees staying in the hotel,
    the Hyatt Regency Dallas, or TBRU Staff may request you change your attire.
    • No solicitation for sex for payment, money, barter, or favors (also known as
    prostitution, escorting, etc...).
    • No unwelcome or unruly sexual advances to attendees or employees of hosting
    facilities. No means No! Consent is the gold standard. Before engaging in physical
    or sexual activity, gain consent from the other person(s). By not gaining consent, you
    may be guilty of physical or sexual abuse/harassment.
    • No public urinating or defecating (eeeewwww!).
    • Keep public displays of affection respectable (there are tons of bedrooms to take
    your Partner(s) to).
    • Responsible drinking of alcoholic beverages (public intoxication is illegal and is a
    misdemeanor offense punishable by arrest).
    • Resolve situations without the use of abusive verbal, or physical confrontations.

    • Embrace and Celebrate Diversity - This is a safe and inclusive space for all.
    • We are a group of many sizes, nationalities, and types of physical attributes,
    including hair and skin, various ages, and generations.
    • Respect federally protected health statuses, recognizing that we have
    responsibilities and moral obligations. We strive to be stigma-free, refrain from
    bullying, and call out injustice.
    By registering and attending TBRU you
    (1) Agree not to hold Dallas Bears or TBRU, its officers, membership, guests, sponsors,
    volunteers, or any commercial establishment or its staff used in conjunction with this
    event, responsible for any loss or injury either to their property or their person while
    participating in this event.
    (2) Are fully responsible for any damages they may cause to the hotel property or
    commercial establishments used during this event.
    (3) Are fully responsible for any guests that you allow onto the hotel property, including any
    damages caused to the property, until such person(s) leave(s) the property.
    (4) Will not indulge in actions that could be considered discriminatory or racist.
    (5) Will grant Dallas Bears, TBRU, and anyone designated by them the right to use their
    likeness, image, voice, and appearance, whether recorded on or transferred to videotape,
    film, slides, photographs, or other media, for publication, broadcast, or use on the web.
    (6) It is further understood that this is a public event and that Dallas Bears, TBRU, or
    anyone cannot control people from making pictures public. Attendees should use good
    judgment, discretion, and respect people’s privacy before posting, tagging, or sharing
    images with other people or on social media sites.
    (7) Understand that the failure to follow any one of these guidelines is grounds for being
    escorted away from and/or being asked to leave the event without a refund of registration or
    hotel room fees.

    Continued failure to comply may additionally result in being banned from future events.
